Cloud services keep your data available, not backed up

No misunderstanding costs a small business more than this one. The design goal behind Microsoft 365 and behind Google Workspace is that mail and files remain reachable and durable. Handing back what a departing employee deleted eleven months ago is not that goal, and the retention window shuts in both. Accounting is no different: QuickBooks Online owes you nothing when an import goes badly wrong.

So the tenant lines here are not decoration. They cover mail, files, sites, chat content, contacts, calendars, the ledger, and the directory configuration that is easy to forget about until the day you have to rebuild it from memory.

Available is not the same as recoverable, and the gap between them is a very bad week.

Machines, and then proof

With hardware, choose by what you would need handed back. File history covers a workstation where the documents count for something and the machine does not. Take the whole image where the answer must be that machine, set up that way, trading by opening time. Servers and hypervisor guests want the database aware cards, since a database copied carelessly is not a copy anybody can use.

Restore verification is the card people leave out and regret leaving out. Recovery runs to a timetable and produces a dated record that it worked. Insurers ask for that record, auditors accept it, and you get to stop wondering.

Where this board stops

Nothing else on this site is as comforting as a backup, which is precisely why the limits below deserve reading.

  • Backup is not an archive. Retention follows whichever card you bought. Where a rule obliges you to hold records for seven years, mention it at scoping and we build for that instead of assuming it.
  • A restore lasts as long as it lasts. A large image returns at whatever speed your connection and your hardware permit. You get a realistic figure beforehand. Nobody will pretend it is instant.
  • We copy what you nominate. A share nobody mentioned, a machine that never enrolled, and a system a supplier hosts for you all sit outside the copies unless they were put in scope.
  • A copy is not an audit trail. Backups tell you what a system looked like. They do not tell you who changed it or why. That is the floor watch board and the customer ledger board.
  • PCI DSS obligations stay with you and your acquirer. Copies support technical controls you may be asked about. They do not deliver PCI compliance or certification, and we are not a Qualified Security Assessor.
